MLQU Staff Training: Advancing Efficiency Through Technical Writing and Complete Staff Work

The Manuel L. Quezon University (MLQU) recently conducted a comprehensive two-day training for its technical staff, focusing on two critical skills: technical writing and the principles of Complete Staff Work (CSW). This initiative, spearheaded by Executive Vice President (EVP) Lucille Ortile, an expert in the field, is part of the institution’s broader strategy to invest in its personnel’s development, enhancing their skills to foster career growth and improve organizational efficiency.

This training is just the first in a series of capacity-building initiatives aimed at equipping MLQU’s staff, officers, and faculty with the skills needed to thrive in a rapidly evolving professional environment.

A Strategic Approach to Staff Development

The training was designed with a clear goal in mind: to equip MLQU staff with the necessary tools to improve professional communication and workplace productivity. By focusing on technical writing and CSW, MLQU is not only addressing current staff needs but also preparing its employees for future challenges and opportunities.

The Importance of Technical Writing

One of the primary objectives of the training was to emphasize the significance of technical writing in a professional setting. Participants learned how clear and precise written communication can enhance efficiency and decision-making within the organization.

In the context of MLQU, technical writing ensures that documents such as memos, reports, and proposals are both professional and easily understood. For instance, when drafting a proposal for a new campus initiative, using technical writing techniques ensures that the message is not only professional but also easily understood by the intended audience. By adhering to key principles such as clarity, accuracy, conciseness, and logical organization, staff members can produce documents that are effective and free from misunderstandings. These qualities are critical when drafting policies or reports that require quick and informed decision-making by university management.

Complete Staff Work: A Philosophy for Effective Decision-Making

Another major aspect of the training was introducing the concept of Complete Staff Work (CSW). CSW is a philosophy that encourages staff members to prepare well-researched, comprehensive recommendations before presenting them to management. This approach eliminates the need for additional back-and-forth, saving time and improving the quality of decision-making processes.

At MLQU, adopting the CSW methodology means that employees are expected to conduct thorough research, anticipate questions, and present well-rounded, actionable recommendations. For example, when proposing a new library system, staff members should not only present the system’s benefits but also research potential costs, implementation timelines, and technical support options. CSW emphasizes that proposals should be fully developed, providing management with all the information needed to make informed decisions. This process builds trust with leadership, as it shows staff are competent and able to manage complex tasks independently.

Practical Application: Writing Effective Memos

The training also covered how to create memos, one of the most common forms of internal communication at MLQU. A memo serves various purposes, from outlining new policies to requesting resources or providing updates on ongoing projects. The session guided participants on how to write memos that are concise, clear, and action-oriented, ensuring that these documents are both informative and easy to act upon.

By using real-world scenarios, such as requesting new equipment or proposing system upgrades, the training enabled staff to practice drafting memos that adhered to both technical writing and CSW principles. The memo format emphasized key sections, such as background information, thorough research, clear recommendations, and actionable steps. Staff were also encouraged to adopt a professional tone, avoid jargon, and ensure the document was logically structured for ease of reading and decision-making.

Key Takeaways and Benefits

The training session concluded with an interactive feedback session, where participants had the opportunity to present their work and receive constructive critiques. The primary focus of the feedback was on clarity, structure, and whether the CSW principles had been applied effectively in each document.

Key takeaways from the session included:

  • Technical writing helps streamline communication, ensuring memos and reports are clear and easy to understand.
  • The CSW philosophy encourages staff to present well-prepared, fully developed recommendations that save management time and improve decision-making.
  • Practical exercises, like drafting memos, reinforced the need for staff to apply these concepts in real-world scenarios, ensuring that they are ready to communicate effectively and professionally.

The training on technical writing and Complete Staff Work was an invaluable experience for the MLQU technical staff. By equipping employees with these essential skills, the university is not only preparing them for future career advancements but also fostering a culture of efficiency and professionalism within the institution.

This training marks just the beginning of MLQU’s ongoing commitment to staff development. Future sessions will continue to focus on building the capacity of the university’s personnel, ensuring that both staff and faculty are well-equipped to meet the challenges of an ever-changing educational and administrative landscape. Through such initiatives, MLQU is demonstrating its commitment to the continuous growth and development of its personnel, ultimately benefiting both the staff and the institution as a whole.
